Shared Services People Responsibilities

  • Responsible for the operation of the Shared Services Vendor Management function.
  • Liaise with and support the Vendor Management team in Africa
  • Perform VCMS Administrator responsibilities.
  • Determine team priorities and allocate responsibilities within the Vendor Management Team.
  • Work with management to build and implement solutions in line with the business strategy.
  • Set in place and review audit procedures to ensure that services are completed in accordance with the Service Level Agreement (SLA)
  • Ensure that individual and team Key Performance Indicators (KPIs) and Service Level Agreements (SLAs) are achieved
  • Drive the provision of efficient administrative and other routine services.
  • Ensure resources, capabilities and capacity can meet stakeholder requirements, this will include planning:
    • to deliver new tasks/services for key stakeholders
    • future workload in order to maintain service delivery
  • Seek opportunities for continuous improvement in policies, processes, procedures and systems
  • Anticipate hurdles and have contingency plans to circumvent them
  • Ensure that duties are completed as assigned by the SSGP Leader and Shared Services Manager.
  • Manage workflow and resources to optimise value for stakeholders.
  • Scheduling of work amongst resources and shifts to meet stakeholder expectations

Training and Performance Development (within the Shared Services SSGP Team)

  • Determine training requirements and train staff in the use of relevant systems, processes and required skills for their role
  • Share knowledge and develop team capabilities to strengthen understanding of business needs and service excellence.
  • Review and identify knowledge gaps and implement plans to improve knowledge gaps.
  • Act and liaise with team members to resolve any matters that arise relating to performance in a timely manner

Customer Satisfaction

  • Monitor service delivery to ensure services meet client needs and are delivered in accordance of the agreed KPIs and SLAs
  • Serve as the single point of contact for the Vendor Management function to ensure a seamless end-to-end delivery of services for stakeholders.

Shared Services Requirements

  • Establish a culture of flexibility and adaptability to varying shift requirements and operation hours in order to fulfil real time business requirements
  • Demonstrate an understanding of confidentiality requirements relating to People activities and ensure the teams compliance of these requirements

 

Essential skills and experience

  • Excellent communication and strong presentation skills.
  • Strong customer service and collaboration / relationship building skills (both internal and external)
  • Displays keen attention to detail.
  • Demonstrable people management and team leadership capabilities
  • Willing to work on a rotating roster (as required) to meet operational requirements.
  • Strong sense of initiation, responsibility, ownership and excellent attention to detail.
  • Demonstrated ability to use initiative to resolve problems and issues, prioritise work to meet deadlines, and ability to drive team collaboration.

Qualifications

  • Minimum of 2 years' experience in a contracts and procurement position or 5 years administrative / support role with strong references.
  • Knowledge of procurement / finance software and / or ability to apply this knowledge to new software packages.
  • Knowledge and experience in the use of Service Management systems / tools (desirable)
  • Experience in a global shared services organisation (desirable)
